An overdue reminder is most useful when it identifies the correct invoice and gives the customer a clear way to respond. Payment disputes and changed arrangements still need someone to review them.
“Invoice Overdue Payment Chaser” starts when an invoice becomes overdue, sends email and SMS, waits seven days, then checks its current status. An overdue or partially paid invoice can trigger an owner notification and a follow-up tag.
What we will set up
- Professional access
- Customer email, phone and invoice/payment link checked
- SMS credits purchased separately
- Seven-day delay followed by a current status check
- Owner verifies the current balance before contacting the customer
Workflows → Templates
Start from the named template
Use a Professional business account with permission to manage workflows. Open Workflows, browse the templates and choose “Invoice Overdue Payment Chaser”. Inspect the created workflow before enabling it.
The public demo lets you inspect workflows; activation requires Professional. Free does not include workflow automation. Keep the workflow paused while checking the records, recipients and actions.
Concept
A preset supplies connected steps and field mappings to review.
Advantage
Starting with the current preset avoids recreating the process from an incomplete blank-canvas recipe.
Invoice Overdue → Send Payment Reminder
Check the invoice and contact details
Review invoice number, due date, outstanding amount, customer email and payment link. The email uses values from the event that triggered the workflow.
Confirm that the debt and contact method are appropriate. Review disputed invoices, credit notes, payment arrangements and recent receipts with the person responsible for collections.
Concept
The reminder identifies the invoice and gives its customer a view/payment link.
Advantage
Customers can see which amount and record the message refers to.
SMS Nudge
Budget for SMS and inspect failure paths
The preset also sends SMS to the customer phone from the event. SMS credits are purchased separately; message length and segments affect the credit use. Check the recipient number and final message.
Inspect the connections after email and SMS errors. This preset continues toward the delay after message errors, so a later owner alert is not proof the customer received the reminder.
Concept
Email delivery and SMS delivery have separate outcomes.
Advantage
The owner can distinguish an unpaid invoice from a reminder that failed to reach its customer.
Wait 7 days → Still unpaid?
Check current status after the wait
The status check after seven days reads the invoice’s current status. The preset follows its yes branch for overdue or partial invoices, then notifies owners and tags the invoice.
The owner notification’s amount comes from the original event. Open the invoice for its current balance before calling; partial payments during the wait can make the message amount stale.
Concept
A fresh status check controls escalation, while event values may remain historical.
Advantage
Owner follow-up can use the current record rather than treating the initial balance as unchanged.
Workflow test and execution history
Test the outcome before activating
Use invoices and recipients you control. Test paid and partially paid records during the delay, plus missing contact details and failed-message cases. Send actions can contact real recipients and use SMS credits.
Check execution history, the owner alert and invoice tag. Record who will handle replies and disputes; activate only when the sequence matches your collection process.
Concept
Check the selected records, action results and failures, then assign an owner to review future runs.
Advantage
A controlled test exposes incorrect recipients or state changes before they affect customer work.
Automation can repeat the first reminder and flag records for attention. It does not guarantee payment or resolve a disputed balance.
Review the current invoice before personal follow-up, and pause or adapt contact when circumstances change.
